🚀 Registration and First Access

Everything you need to know to create your account professionally.

TrovaVip adopts a multi-step registration process to ensure high-quality profiles. Here are the technical details of each phase:

Role Selection

Choose between User (client), Artist (professional), VIP Artist (celebrity with +100k followers) or Agency (roster management). Note: agencies must provide the company name.

Account Data & Security

Enter email and a password of at least 8 characters. You will need to pass the Cloudflare Turnstile security check (the "I'm not a robot" box) to proceed.

Public Profile Creation

Enter your Stage Name (which will become your custom URL, e.g.: trovavip.it/mario-dj), your city and category. The Bio must be at least 80 characters to be accepted by the system and ensure visibility.

AI-Powered Identity Verification (KYC)

For Artists and Agencies, uploading an identity document (front/back) or a Company Registration is mandatory. Our Artificial Intelligence scans the document in real-time: if the data matches what you entered, the profile instantly receives the verification badge ☑️.

Media and Activation

Upload your main photo. If the promotional phase is active (FREE_MODE), your account will be active immediately and you will receive 1 free year of subscription.

Once the steps are finished, you will be redirected to your Dashboard. If your profile has been automatically verified by the AI, you will be immediately visible in the search engine. If you are a VIP, your profile will remain in "pending manual verification" until our team confirms your social media following.

📧 Email Verification: If we are not in free launch mode, you will need to click on the activation link sent via email. If you can't find it, check your Spam folder.

We use bank-level security standards. The document uploaded in Step 4 is processed by a computer vision algorithm only to extract the data necessary for verification (First Name, Last Name, Expiry). Once the analysis is finished (about 5-10 seconds), the document file is permanently deleted from our servers. We do not store physical or digital copies of your identity documents.

The ideal role for those looking for talent for their events. As a User you can:

  • Advanced Search: Filter by category, city, and price.
  • Favorites: Save the profiles you like to consult them later.
  • Contacts: Send free quote requests to any artist.
  • Digital Contracts: Sign agreements legally from your smartphone.
  • Reviews: After an event, you can leave public feedback on the artist's profile.

For musicians, DJs, performers, and entertainment professionals. The artist subscription includes:

  • Showcase Profile: Photo gallery, YouTube videos, and detailed biography.
  • Verification Badge ☑️: Get immediate credibility by passing KYC.
  • Price Management: You decide whether to show the price, hide it, or set it "on request".
  • Contracts Archive: All your signed agreements saved in one safe place.

An exclusive status reserved for celebrities and major influencers. In addition to standard artist features:

  • ⭐ VIP Badge: A special icon that distinguishes you in the search engine.
  • Maximum Visibility: VIP profiles appear prioritized in search results.
  • Social Requirements: Manual verification of your following is required (minimum 100k total followers).
  • Spam Filter: Only serious clients can contact you, ensuring high-level proposals.

Designed for those who manage multiple talents. The Agency role offers:

  • Multi-Account (Roster): Manage dozens of artist profiles from a single account.
  • Centralized Dashboard: Monitor all requests and contracts for all your artists.
  • VAT and Registration: Necessary requirements to guarantee commercial professionalism.
  • Signature on Behalf: The agency can sign digital contracts for its managed artists.

✨ Profile Management

Detailed analysis of management tools divided by category.

Users looking for artists have a simplified management focused on identity:

  • Basic Info: Modification of the display name and personal biography (max 500 characters).
  • Avatar: Uploading the profile photo that will be shown during conversations and in reviews.
  • Security: The email is protected and cannot be changed to ensure the validity of signed contracts.

Professionals have access to a full suite of marketing tools:

  • Multimedia Showcase: Uploading a banner (cover), a profile photo, and a gallery of 4 additional photos.
  • Video Portfolio: Integration of 4 videos directly from YouTube to show your performances.
  • Technical Details: Configuration of event types, coverage areas, spoken languages, years of experience, and required notice.
  • Technical Rider: Dedicated space to list technical needs (equipment, service, etc.) for the organizer.
  • Social & Web (VIP Only): Dedicated sections for Instagram, TikTok, and official website to maximize cross-linking.

Agencies have the most complex management, acting as a "hub" for their talents:

  • Company Data: Management of VAT, foundation year, and company name.
  • Roster Management: A dedicated section to add new artists or modify existing ones.
  • Editing on Behalf of Third Parties: The agency can modify every detail of the profile of the artists it manages (photos, bio, prices), ensuring image uniformity.
  • Centralized Verification: When the agency is verified (via Business Registration), its artists enjoy a fast track for visibility.

Price management is flexible and varies based on the artist's or agency's strategy:

💰 Price Options: 1. Public Price: Shows the cost "starting from". 2. Registered Only: The price is only visible to logged-in users. 3. On Request: The price is hidden and requires direct contact for a quote.

L'artista riceve immediatamente un'email e una notifica sulla sua Dashboard con tutti i dettagli della tua proposta.

Si attiva una chat privata interna (criptata e sicura) dove potete scambiarvi file, messaggi vocali e definire i dettagli dell'accordo.

Generazione Contratto

Se l'accordo va a buon fine, l'artista può generare un contratto digitale direttamente dalla chat che potrai firmare con un clic.

Sì, se l'artista ha scelto di rendere pubblico il suo numero, vedrai il tasto ufficiale di WhatsApp direttamente sul suo profilo. Ricorda però che le prenotazioni effettuate tramite il sistema interno di TrovaVip sono protette e tracciate dai nostri sistemi di sicurezza.

TrovaVip è un "motore di ricerca" che fornisce gli strumenti per connettersi, ma i tempi di risposta dipendono esclusivamente dall'artista o dalla sua agenzia. Il nostro sistema invia solleciti automatici dopo 48 ore, ma non possiamo garantire una risposta da parte del talento.

💡 Consiglio: Per massimizzare le probabilità di successo, contatta sempre almeno 3-4 artisti diversi per la stessa data.

Yes, each artist is free to manage their own calendar and professional image. An artist can:

  • Reject the proposal: If the date is already booked, if the budget is not in line, or if the event type is not suitable for their profile.
  • Block the chat: In case of inappropriate messages, spam, or violations of the terms of service. Blocking prevents any further interaction.

TrovaVip does not intervene in the artistic or commercial decisions of individual professionals.

📄 Digital Contracts

Everything you need to know about the secure and legal signing of agreements.

TrovaVip supports two contracting methods for maximum flexibility:

  • Pre-filled Contract: A standard template automatically generated by the system that includes all event details (Art. 1-6). It can be edited by the artist before signing.
  • Custom Contract (PDF): The artist or agency can upload their own PDF file. The system will automatically add a "Signature Certification" page at the bottom of the document at the time of signing.

Yes. TrovaVip uses Simple Electronic Signature (SES) in compliance with EU Regulation No. 910/2014 (eIDAS). For each signature we collect:

  • Graphic Trace: The signature made on screen (canvas).
  • Timestamp: Exact date and time of the signature.
  • IP Address: The identifier of the connection from which the signature was made.
⚠️ Note: TrovaVip acts as a technical intermediary and is not a party to the contract. Responsibility for compliance remains with the signing parties.

Absolutely yes. Before signing, the artist or agency can access the editor and modify:

  • Subject and Amount: Details of the performance and economic compensation.
  • Art. 3 (Terms): Specific rules on duration, breaks, and technical needs.
  • Art. 4 (Conditions): Penalties in case of cancellation and obligations of the parties.

If terms are modified, the other party will receive a notification and see a clear warning: "Terms updated by the other party", to ensure maximum transparency.

Creation

The artist generates the contract starting from an accepted request.

Client Signature

The client receives a notification, reads the contract, and signs digitally from a smartphone or PC.

Counter-signature

The artist adds their signature to conclude the agreement (or vice versa).

Final PDF

The system generates a single PDF with both signatures and makes it available for download in the "My Contracts" section.

💳 Plans & Payments

Information about the free plan and managing your subscription.

Yes, TrovaVip is and will remain free regarding the main features: registration, profile creation, media upload, message management, and signing digital contracts.

✅ Transparency: We do not take commissions on your earnings and do not ask for payments to be visible in searches.

The "expiration" you see in the Dashboard (usually 12 months from registration) is a technical parameter we use to ensure that profiles on the platform are still active and operational.

  • Free Renewal: 30 days before expiration, a "Renew for Free" button will appear. By clicking it, you confirm you are still active, and your profile will be extended for another year at no cost.
  • Reminder Email: We will send you a notification when it's time to renew, so you won't risk losing visibility.

We might implement optional extra features in the future (such as "Top Visibility" to appear at the top of sponsored results or advanced marketing tools). However, these will always be optional choices and not mandatory for professional use of the platform.

⚙️ Account & Security

Data protection, privacy, and anti-spam policies.

Security is our priority. We adopt several measures to protect the community:

  • KYC Verification: Every artist or agency must upload an identity document that is verified via AI to prevent identity theft.
  • Anti-Bot Protection: We use Cloudflare Turnstile to prevent automatic registrations and brute-force attacks.
  • Encryption: Passwords are protected with state-of-the-art hashing algorithms (BCrypt), and connections are entirely encrypted via SSL/HTTPS.

We constantly monitor the platform to identify improper use or fraud attempts. In case of reports or abnormal behavior:

  • SMS Verification (Coming Soon): For accounts showing suspicious activity, we will soon implement mandatory verification via SMS code to ensure a real person is behind the profile.
  • Immediate Suspension: Accounts that send spam, inappropriate messages, or attempt fraudulent practices are immediately suspended without notice.
🛡️ Active Security: If you receive suspicious messages or scam attempts, report it immediately to our support via chat.

For security reasons, deletion requires two steps:

  1. Go to Settings and enter your password in the "Delete Account" box.
  2. You will receive an email with a confirmation link. Click the link within 24 hours.

After confirmation, all your data, signed contracts (which you should download first), and photos will be permanently deleted from our systems.
